How an International Agency leveraged Bubty to manage 300+ freelancers

Business Challenges

Delivering workforce management solutions for diverse companies demands a robust infrastructure to safeguard contingent worker data, contracts, compliance processes, and employment regulations. Rather than developing an extensive program in-house, the company needed to partner with an existing solution provider so they could focus more on the processes, daily management needs, building a vigorous talent pool, and ensuring customer retention and satisfaction.

Centralization of Workforce Management

Challenge

The company employed numerous disjointed systems to manage their workforce data: personal details, performance metrics, contract specifics, assignments, and more. Due to these disparate systems, onboarding and project matching processes required significant manual effort and time. Ongoing management and operations became increasingly challenging, fraught with potential errors. With a freelancer base exceeding 300 individuals across multiple clients, the company recognized the urgent need to centralize talent information.

Opportunity

With Bubty, the company has transitioned from multiple systems and programs to a single platform where they can efficiently locate and manage all freelancer and contingent worker information across their entire client base. This consolidation has enabled automated and streamlined processes for onboarding, management, matchmaking, and project engagement, resulting in significant time and effort savings.

Automation and Storage of Contracts

Challenge

The company had to gather various types of contracts (NDAs, SOWs, EOR forms, etc.) at different stages of the talent engagement process. Using email exchanges to ensure each contract was delivered and signed promptly within each stage proved to be ineffective. The redlining process was time-consuming and labor-intensive. Once the contracts were signed, the storage of each contract was either disorganized or non-existent, leading to potential misplacement or loss.

Opportunity

With Bubty, the company automated its contract processes at both the onboarding and project levels. Freelancer profiles are now flagged for unsigned contracts, improving visibility and ensuring signatures are obtained before engagements begin. Contracts are also well-organized and securely stored for easy findings. The company is now able to see individual's contract details at a quick glance, reducing time required to match make and get the projects approved and completed.

Classification and Management of Multiple Worker-types

Challenge

The company provides services that support both 1099 and W2 workers. Each worker type requires separate processes; contracts, engagement types, payment solutions, etc. The company found that most FMS programs available are geared toward one worker type or the other, making it impossible to manage multiple worker types in a centralized location.

Opportunity

With Bubty, the company can manage multiple worker types on a unified platform while establishing compliance processes that ensure accurate classification and legal engagements for each worker.

Anonymity

Challenge

The company wanted to maintain their brand identity while avoiding the expenses associated with developing, manufacturing and managing their own platform.

Opportunity

Utilizing Bubty’s White-Lable features, the company was able to set up their Bubty environment (logos, colors, links, terms, etc) to only reflect their branding.

Value Delivery

By harnessing Bubty’s platform, the company has centralized all aspects of workforce management, including onboarding, compliance screening, contract and document management, matchmaking, and daily oversight. Instead of juggling multiple systems, the company now only needs to input a freelancer's email address, allowing the Bubty system to handle the rest automatically. They can still track freelancer progress from onboarding to engagement and address any issues promptly within the platform, but this streamlined approach has freed up valuable time for the company to focus on scaling; confident that Bubty is managing the rest efficiently!

Customer Benefits

  1. One streamlined platform and process opposed to rigged ineffective and costly options.

  2. Ability to centrally manage all talent and contracts, minimizing the risk of missed or misplaced documents.

  3. Ability to screen and classify freelancers to ensure compliant engagements.
